Planning for your project

Project Handbook

Project Proposal Form             – due noon on Friday October 1, 2010
- you can find some suggested topics here and a list of some project topics from 2008/9 and 2009/10 here.

Project Specification Form       – due noon on Friday October 22, 2010

Supervisors have now been allocated to projects - you can see a List of Supervisors here.

Students should arrange a time to meet with their Supervisor and, in conjunction with them, agree the Project Specification Form (including your Project Plan) and one of the Ethics Forms.  Both have to be signed by both you and your supervisor (if they are not they will be returned to you) and hard copies handed in to the Award Support Office at Stoke.

It would be sensible if, when you first meet with your Supervisor, you take along your first draft of your Project Spec as a starting point for discussion (they will already have a copy of your Project Proposal).  Copies of the blank Project Specification Form and the Ethics Forms can be downloaded from the links on this webpage.

Guidance on which Ethics Form to use and how to fill in these forms can be obtained from your Supervisor and from the Faculty webpage on ethics.

Inter-Semester Presentations   – in week of 10-14 January 2011 (timetable).

At least 3 days before the day of your presentation, you must put electronic copies of what you have written so far for your Project Report in the ISP sub-folder within your personal project folder.  This is to help your 2nd Assessor assess how well you are progressing.

An electronic copy of your presentation should be put in the ISP sub-folder within your personal project folder by the end of the day in which you give your presentation.

Gradex11 entry     - due Friday 21 January 2011 after approval by Supervisor.

- Extract from Handbook + Hand-in Requirements

- Stoke Entry Form (this is different from the one you link to from the Gradex11 web page) + further advice and information

- link to Gradex web page

Project Report – Two bound printed copies of your Report (both including a copy of your Log Book and your project plan(s) as Appendices) must be handed in to the Stoke Faculty Office on or before 12 noon on Tuesday 3 May 2011.  One copy of the printed Report will be retained by the University.  The other copy can be collected after results have been published

One electronic copy of the Report (excluding any material not available in electronic form such as the Log Book) must be placed in the Final_Other sub-folder within your personal project folder accessible from the FCET labs and one electronic copy of any software or other artefact produced as part of the project must be placed in the Final_Artefact subfolder.   Both must be done before 15.00 on Tuesday 3 May, after which time the server will be closed.

Clear instructions must be provided within the Report on how the artefact can be accessed and assessed.

Refer to the Project Handbook for guidance on how your Report should be presented.

- Make sure that your Cover Page conforms with the style shown by this link.

- Use Harvard Referencing

Further information from the library on Referencing

Poster    You are required to produce an academic poster on no more than 3 sheets of A3 paper to display the work you have done on your project.

Your poster should be presented on the day of your Final Project Presentation and an electronic copy should be put in the Final_Other sub-folder within your personal project folder by the end of the day in which you give your presentation.

Final Project Presentations

The Final Project Presentation normally takes place in the three weeks following submission of the Report.  It will be attended by your Supervisor and 2nd Assessor.  The same rules will apply for the Final Project Presentation as for the Inter-Semester presentation, eg. you are expected to be neatly dressed, supply two (6 slides per page) printed copies of your slides to your assessors at the start of the presentation etc. etc.  In addition, your presentation must conclude with (or incorporate) a demonstration of your artifact, showing clearly how you have met your objectives as set out in the Project Specification.  Inability to demonstrate your artifact may result in a Fail.

An electronic copy of your Final Presentation should be put in the Final_Other sub-folder within your personal project folder by the end of the day in which you give your presentation.

A list of presentation times will normally be published about 2 weeks before the end of the teaching year.  Each student will be allocated a 1 hour time slot.  This is to allow sufficient time at the end of your presentation for your assessors to test your artifact informally in your presence.  As a guide, your presentation, including demonstration of your artifact, should last no more than 20 minutes with 5 minutes afterwards for questions.  Marks will be awarded for the structure of your presentation and its content, as well as for the way in which you present.

If you have a valid reason why you cannot make the time that you have been allocated, you must contact your Supervisor before May 3 to arrange an alternative time.

It is strongly recommended that you practise your presentation with the equipment in the Lab you will be in beforehand.  Liaise with the Technicians to do this.

If you must use your own laptop, it is your responsibility to check beforehand with the Technicians in case there are any compatibility problems.

Viva Voce - Be prepared to attend a viva voce on your project in June or early July.  You will be notified if this is required.  Viva voce means to have voice.  It may be that the External Examiner will require you to discuss your project. The presentation will be good practice for this.
